Streamlining Microsoft 365 Change Management: Connecting the Message Center to Planner

Keeping up with Microsoft 365 updates can be overwhelming,especially when changes impact security, compliance, or user experience. The Message Center provides valuable insights, but without a structured way to track and act on them, important updates can slip through the cracks. In this post, we’ll explore how to connect the Microsoft 365 Message Center to a planning tool like Microsoft Planner, turning passive notifications into actionable tasks. Whether you're an IT admin or a strategic advisor, this integration helps you stay ahead of change and keep your organization aligned.


Step 1: Create Your Planner:


Before integrating the Microsoft 365 Message Center, you’ll need a dedicated Planner to organize incoming updates. This Planner will serve as your central hub for tracking, assigning, and following up on changes communicated through the Message Center.

To create a Planner:

1. Go to Microsoft Planner or open it via Microsoft Teams:

2. Click “New Plan” and give it a clear name like Microsoft 365 Updates Tracker:

Choose whether the plan should be public (visible to your team) or private.

4. Add relevant members who should be notified or responsible for specific updates.

5. Create buckets to categorize updates (e.g., Security, Compliance, User Experience, Admin Tasks):

This structure will make it easier to automate task creation later and ensure that each Message Center post finds its place in your workflow.


Step 2: Sync the Message Center with Planner via Admin Center :

Once your Planner is set up, you can enable synchronization directly from the Microsoft 365 Admin Center. This integration allows you to convert Message Center posts into Planner tasks, making it easier to assign responsibilities and monitor progress.


To activate the sync:


  1. Go to the Microsoft 365 Admin Center.

  2. In the left-hand menu, select Health > Message Center.

  3. At the top of the Message Center page, click the Planner Sync button:

  4. Choose the Planner plan you created earlier :

    Select the Microsoft 365 Group associated with the plan.

  5. Confirm the sync settings:

    • Decide whether to sync all messages or only specific categories (e.g., major updates).

    • Choose whether to assign tasks automatically or leave them unassigned.

Click Save to activate the flow.

This action will automatically create a Power Automate flow behind the scenes, which pushes new Message Center posts into your Planner as tasks. Each task includes the title, description, and link to the original message, making it easy to follow up or delegate, and here is the result on my dedicated team :

Note: This feature must be initiated from within the Message Center itself. It won’t work if you try to build the flow manually from Power Automate.


By connecting the Microsoft 365 Message Center to Planner, you transform reactive monitoring into proactive management.
